Process for renting Property

1. Property search and inquiry

You can inquire about a property by completing the inquiry form on our home page or you can send us an email, fax or telephone us.
We apologize in the event that the property you are interested in has an application pending, or is already taken. Our members’ staff are also able to introduce you to other properties that satisfy your needs.
The more specific you are in outlining your requirements, for example pet ok, parking necessary, and move in date etc, the easier it will be for us to find the perfect home for you.
   
 
Consulting and on-site tour

Please consider the floor plans carefully and ask your agent for any information you need regarding the properties before you decide to inspect the properties. This will save your valuable time.
When you find some properties that you are interested in, we will take you for an inspection.
It is important to not only check the rooms and the building but also the peripheral environment of the property.

We recommend that you inspect the property during the day and at night.
   
 
Make a Lease Application

When you decide upon the property, you complete a Lease application form. Your agent submits your application to the lessor. We will check whether the lessor will accept a company contract or a personal contract. There are some properties for which only a company contract is acceptable. It depends on the property.Depending on the identity of the lessee, you may need to provide the following:
1. Copy of company registration;
2. Copy of Certificate of registered seal;
3. Copy of document verifying lessee’s identification (such as driver's license, passport, certificate of alien registration, or health insurance card)
4. Income certificate;
5. Employee certificate and other documents
6. Details of an acceptable Guarantor (including office and home address, telephone number of your guarantor)
It is important to confirm in advance with your guarantor that she/he or it is happy to act as guarantor. In case you don’t find a guarantor, or the owner requests to you, there is a system for using a guarantor company.

   
 
Application Check

The Application content is examined by the owner. The owner may ask the agent to obtain from the applicant some details or documents which verify the contents of the Application. There is usually no problem if copies of the following are submitted with the Application:
1. the company certificate of registration;
2. the company certificate of seal impression,
3. a document evidencing the ID of the applicant, for example, driver’s licence, passport, alien registration card; and
4. a document confirming the applicant’s income.
An applicant must pass the Applicant check to be able to move into the property.
The Lessor’s agent will contact your guarantor to confirm that the guarantor will provide the guarantee.
We carefully use the private information contained in your application.
It might take up to one week to get a response from the lessor.

   
 
Entering into the contract

  1. Entering into the lease contract and requirements for the documentation.

After the lessor has approved your application and the commencement date has been agreed, the lessor’s agent prepares the lease.
Usually the execution of the lease by all parties occurs on the same day that the lessee pays money required by the lease to be paid in advance, such as security deposit, key money, advance rent and agent’s fee.

Prior to the execution of the lease, our Licensed Broker will provide you or your company with the “Explanation of Important Matters” and “Rule for Dispute prevention of leased property in Tokyo” (please see the definition of “Tokyo Rule” in the Glossary).
The lease contract is concluded when the Lessor, Lessee and guarantor have signed or sealed the lease contract after checking the details of the lease contract.
The lessee and guarantor usually sign/seal first followed by the Lessor.
You will receive one of the lease contracts after execution. Please keep the contract until the lease is terminated.

It is necessary to take out tenant liability insurance for the lease term.

You usually receive the keys on the commencement date of the lease.

Please inform your moving date to the management office at your new apartment building in advance. You need to check if the building management has a specified time for moving.
Also, you should have an inspection with your agent or the management company of the building before you move in. 

You should record any damage the premises. This is to ensure that the lessee is not held responsible for damage to the premises that occurred prior to taking possession. 
It is a good idea to take photos of any damage at this inspection.
